Housing Administrator- Public SectorDescription: My client is looking for an excellent Housing Administrator who is immediately available with the following experience:- Responsible to the Senior Administrative Officer of the section for the provision of administrative support across the full range of functions, utilising the department’s computerised housing management system and other IT systems as appropriate. Deals with residents and the public generally, in writing, by telephone and in person at reception, on a wide range of housing and related subjects, answering queries and complaints and giving advice and guidance. Carries out the full range of reception duties as and when required. Checks eligibility for, and issues and records, residents parking permits and undertakes all necessary system updates. Assists in co-ordinating attendance at evictions – liaising with estate managers, contractors, finance department officers and county Court staff. Issues repair orders to routine maintenance, specialist and engineering contractors, ensuring accuracy of estimating and coding. Makes appointments with residents as necessary under the repairs appointment scheme. Issues orders to the cleaning contractor in relation to vacant property security and other matters. Issues inspection requests in cases where repairs require pre-inspection. Assists with the routine monitoring of contractors’ performance as regards orders over target date and outstanding invoices. Ensures that all correspondence is logged and the appropriate systems and databases are regularly updated. Assists in the preparation of monitoring reports as required. Assists with the administration of vacant property processing and monitoring and ensures that the housing management system and all other relevant records are kept fully up to date and accurate. Arranges appointments for prospective tenants to view vacant property. Carries out tenancy sign-ups ensuring all documentation is present and correct, including non-residential property. Date-stamps and logs all contractors’ invoices received. Checks same for administrative and arithmetical accuracy, resolves queries with contractors, passes invoices to relevant staff for payment approval and certification. Clears approved & certified invoices for payment and crosschecks accuracy of the following day’s certification document. Files all cleared invoices in the storage archive, and retrieves same when required to answer audit, service-charge and other enquiries. Checks contractor statements and investigates cases of non-payment. Assists with the management of non-residential property. Checks and records applications in accordance with laid down procedures. Answers enquiries and deals with repair matters as above. Administers the Concessionary Decorations Assistance Scheme in accordance with laid down procedures and available funds. To be fully aware of and understand the duties and responsibilities arising from the Children Act 2004 and working Together in relation to child protection and safeguarding children and young people as this applies to your role within the Council. To also be fully aware of the principles of safeguarding as they apply to vulnerable adults in relation to your work role. To ensure that your line manager is made aware and kept fully informed of any concerns which you may have in relation to safeguarding and/or child protection.
